Registering for a Fjallabak Trip
Booking a Trip
It is essential that every participant reads and understands all information regarding the program before registering. Once it has been established that there is space available on the trip in which you are interested, a completed Booking Form and signed Assumption of Risk form along with a deposit of 30% of the trip cost will confirm your reservation. By signing the booking forms, you are confirming that you understand and accept Fjallabak’s booking conditions. The balance of your payment is due 60 days prior to departure. Fjallabak will be entitled to cancel your booking if full payment is not made within this time, in which case you maybe liable for the cancellation charges detailed below.
Distant Journeys, Inc. is Fjallabak’s booking agent and representative in the United States. All booking arrangements and communications with Fjallabak will happen through Distant Journeys. We can offer information in regard to flights and accommodation in Reykjavik, as well as provide for information regarding trip cancellation insurance.
Fjallabak requires that each participant be covered by medical insurance and strongly recommends trip cancellation insurance. We must receive proof of insurance. Before the commencement of your trip, you will need to supply the following:
- Your personal contract number, the name and address of your insurance company, and their emergency telephone number.
- Name, address and telephone number of a personal relation that Fjallabak may contact in the event of an emergency.
If You Cancel: Should you find it necessary to cancel, the following cancellation fees will apply based on the date Distant Journeys receives written notice:
- Over 90 days prior to departure – $200
- 90 – 60 days prior to departure – 30% of land costs
- 60 – 30 days prior to departure – 50% of land costs
- Less than 30 days or failure to show – no refund
There will be no refunds or credits for unused portions or uncompleted tours for whatever reason.
If Fjallabak Cancels: If FJALLABAK must cancel a tour for some reason, participants will be informed 35 days before trip departure and will be fully reimbursed. However, Fjallabak will not be responsible for other expenses incurred by the participant as a result of such cancellation. If the minimum number of people required for the program is not fulfilled, the tour could be canceled, unless all participants accept to pay the supplement calculated exactly according to the number of participants. Your will be informed at least 21 days before departure.
During the Trip: In light of the special nature of Fjallabak’s tours, neither Fjallabak nor it’s representatives can take any responsibility of any changes in enactment, in dates, in timetable, nor in itinerary which occur before or during the trip, in particular if these changes are provoked by uncontrollable circumstances which could threaten the security of the participants (i.e. blocked roads, eruptions, swelling of a river, being remote from medical care, communication difficulties, etc.). These changes do not create any compensation commitments on behalf of the agency. Every participant must conform to the advice and instructions of the expedition chief or tour leader represented by FJALLABAK. Nonetheless, that person cannot be held responsible for incidents, accidents or physical injuries due to personal imprudence.
Flight arrivals and departures: Fjallabak cannot take the any responsibility for any disruptions in your flight itinerary either en route to join the trip or upon your departure from the trip. All extra expense caused by delays in arrival, and/or departure, will be assumed by the participant (lost luggage, hotel, meal, airport-transfer, extra transfer to reach the group or to leave before the end of the trip, telephone etc.). FJALLABAK cannot rectify any omission on the behalf of the airways.
Pricing: Fjallabak’s trip costs are calculated based on the exchange rate for Euros at the time of publication. The trip cost for participants booking through Distant Journeys will be will be calculated and fixed in dollars based on exchange rates at the time of registration. Only profoundly significant fluctuations in exchange rate will result in price adjustments prior to the date of departure.
